As page designers accumulate graphics and text snippets for layout projects, they commonly collect them in a separate document prior to their assignment in the final document. These storage documents are commonly called swipe files.
As we have been designing the current issue of "Classroom Technology Today," we can assume that over time we have collected images and stories awaiting placement there. Earlier in this workshop, we opened a document named swipefile.indd. We will use elements in our swipe file to place into the Classroom Technology Today document.
Using the Content Collector
InDesign offers a nifty tool called the Content Collector that allows us to collect objects from other documents and store them in order to place them elsewhere with the corresponding tool, the Content Placer.
We will use the Content Collector and the Content Placer with the swipe file now.
Step1. To switch to the swipe file, in the InDesign window,
Click the swipefile.indd tab
Step2. To move to the inside pages, in the Pages panel,
Step3. To activate the Content Collector tool, in the Tools panel,
NOTE: There are two important icons at the bottom left of the Content Conveyor: the Content Collector tool and the Content Placer tool. In order to collect items, the leftmost icon must be active.
Step4. Move to page 2.
Step5. To select the assistant picture,
Click the assistant picture
Step6. Move to page 3.
Step7. To select all of page 3,
Press & Drag all objects on page 3
Step8. Move to page 4 of the document.
Step9. To add all objects on page 4 to the Content Conveyor,
Press & Drag all objects on page 4
Using the Content Placer
Now we can move to the newsletter in progress and paste these objects with the Content Placer tool. The Content Placer places the collected materials into another place.
Now we will place these objects.
Step1. To move to Classroom Technology Today document,
Click Classroom Technology Today tab
Step2. To activate the Content placer, in the Tools panel,
Press & Hold, Click
NOTE: You can also activate this tool on the Content Conveyor.
Step3. Move to page 2 of Classroom Technology Today.
Step4. To place the assistant beginning at the 5" mark on the horizontal ruler,
Press & Drag downward from the top margin until the blue edge aligns with the border of the right column
Step5. Move to page 3 of the document.
Step6. To place all the objects on page 3, with the content Placer,
Click the upper left hand corner margin of page 3
Step7. Move to page 4 of the document.
Step8. To place all of the page 4 items, at the 4" mark on the vertical ruler,
Click on page 4 at left margin
Step9. To close the Content Conveyor, in the left-hand corner,
Using Manual Text Flow to Place More Text
We will place more objects into our newsletter, but not until we fix the overlapped text on the back page. As we resize the text frames to allow more space for other things, we will continue to see the end of the main story disappear, waiting to be redirected into more text frames.
In this exercise, we will use manual flow to fill up the half-page columns. Then, once we have the main story situated properly on the top half of the back page, we will return to other pages to adjust other frames, before we finally edit the overset text on page 4.
The back page of "Classroom Technology Today" is in view in the document window. We want the mailing label to take up the bottom third of the page, so now we need to shorten any overlapping text frames.
Step1. To activate the left text column,
Click, Click the left text column near the top
Step2. To shrink the left text column,
Press & Drag the bottom column handle up to 4" mark on ruler
Step3. To begin to flow the story, in the left column of text,
Step4. To flow the text into the middle column,
Click the top left corner of column 2
Step5. To shrink the text frame, with the Selection tool,
Press & Drag the bottom middle column handle up to 4"
Step6. Repeat the previous three steps for column 3.
