While creating personal folders on our local drive or departmental server is one way to keep our accounts organized and uncluttered, we have other options as well.
AutoArchive is a feature in Outlook that, when enabled, automatically moves old mail and other items to a separate personal folder (.pst file) on our computer's hard drive or server. AutoArchive can be set up to archive items after a specified number or days or months and to a specified folder. By default AutoArchive is disabled.
The following video will show us how to confirm that AutoArchive is disabled and how we could enable it if we wished.
Description of the video:
Well creating personal folders on our local drive or departmental server is one way to keep our accounts organized and uncluttered we have other options as well.
Auto archive is a feature in Outlook that automatically moves old mail and other items to a separate personal folder or dot P.S.T. file on our computers hard drive or workgroup or departmental server.
By default when this feature is enabled it will prompt us before archiving items after a specified number of days or months.
The Inbox notes contacts and drafts folders do not have auto archive activated let's verify that the inbox indeed does not have auto archive enabled and see some of the other options in that dialog box to select the inbox if necessary click the inbox folder.
To see if the auto archive is unable for our inbox folder on the ribbon click the folder tab.
And in the Properties Group click auto archive settings.
The Inbox Properties dialog box opens.
Verify that the auto archive tab is selected and verified that the do not archive items in this folder radio button is selected.
At this point our account is not set up to auto archive which is how we want it.
If we wanted to enable auto archive we could click the archive items in this folder using the default settings radio button and then click on the default archive Settings button the auto archive dialog box would open and we could specify how often we want to run auto archive and where we want the items to be moved we don't want to do any of that today so we're going to close the inbox Properties dialog box.
