There are a number of options Outlook users can use to decide how the calendar will be utilized. We can change the reminder time; we can determine the way Free/Busy information is published; we can add holidays, change background colors, and more.
Viewing Outlook Options
In most cases, the default calendar settings in Outlook work quite well. However, it is also very easy to customize these settings.
Let's take a look at some calendar options in the following videos.
Changing the Work Time
If our work week happens to be something other than the traditional Monday through Friday from 8 AM to 5 PM, we can set the calendar to display other ranges or days and hours.
Changing the Default Reminder
We could turn off reminders altogether by unchecking the Default reminder checkbox. We might also leave the reminder on, but increase or decrease the default length of time prior to an appointment when a reminder is sent.

We can change the amount of time that automatically comes up as a reminder time; we can determine the way Free/Busy information is published; we can modify our work days and hours; add holidays; change background colors and more.
Let's view some of the Outlook options now; we will need to move to the backstage view, click the File tab.
To open Outlook options click the Options button.
The Outlook Options dialog box opens, to see the options related to the calendar click Calendar.
We now see several ways to customize our calendar, let's begin by changing the start and end times of a typical workday.
To change the start time, click the drop-down arrow next to Start Time and choose a new time.
I'm going to choose 9AM, we can do the same thing for the end time; click the drop-down arrow and choose a new time, say 8PM.
Now when we view our calendar, the hours between 9AM and 8PM Monday through Friday will be displayed with a white background, indicating that this is our normal work day.
While we are in the Options dialog box let's change the default reminder time.
We could turn off reminders altogether by checking the default reminder checkbox; we want to leave the reminder on but increase the default length of time prior to an appointment when a reminder is sent.
To change their reminder time click the drop-down arrow next to default time and click two hours; from now on when we make a new calendar item a reminder will appear two hours before the event.
To close the dialog box click OK.
